The scope of services includes the following tasks, which are performed independently:

  • Manage all stakeholders by coordinating the project timeline and the dependencies between the different service management processes (Incident Management, Problem Management, Configuration Management, Request Fulfillment Management, Change Management) and functional modules (Enterprise Architecture Management and Software Asset Management) .
  • Track and assess the success of project tasks (timing of the resources) by analyzing the information that will be provided from parallel activities and influence each other (operations, smaller changes and release upgrade tasks). Organize detailed tasks and align progress with other ongoing change workstreams and dependencies via their stakeholders (process owners, vendors)
  • Create documents/presentation for project steering committee meetings to analyze and derive different solution options based on expertise. Create documentation with the results and with recommendations in case of unplanned deviations from the plan.
  • Organize the go/no-go decision meetings, project steering committees (PSCs) and subsequent action items agreed in the PSCs - minuting outcomes, coordinate sign-offs, coordinate testing and create and deliver cut-over plan. Communicating to all stakeholders so that tasks are well understood and being followed up. This will take place on a weekly basis for the overall project progress with all process and module owners, test resources and 3rd parties. Meetings will be done remotely via MS Teams
  • Prepare a status overview covering next steps, risks and issues. Lead the meeting and minute its outcome. In case of issues inform the hiring manager. During test phases the meetings will take place bi-daily but follow the same pattern.
  • Track, analyze and assess the project and cut-over progress, risks and issues via Project Office Tool (POT) and Excel based runbook. The information will come from the involved parties, assessing progress and mitigation actions. In case of observed deviation mitigation, identify the needed actions and follow ups. If the mitigation within the project is not possible (i.e. the project timeline slips), Uniper will act accordingly. Based on the expertise, derive solution options, suggest recommendations and present it to Uniper.
  • Assess project progress and run monthly status reporting in order to analyze the project status, progress, risks and issues. Document the results in the Project Office Tool (POT) and present it to Uniper for a sign off.

Uniper will provide all necessary information (templates, system and organizational documentation, contact details), access to the required systems (relevant ServiceNow instances, HPQC for test progress tracking) and requirements in advance.
